I don't like that when moving from one page to another the first page disappears and you have to find it again - scheduling and patient information. Have to leave one to get to the other.

Happy Customer
Opmerkingen: I only first went live beginning February 2021, with the encouragement of [SENSITIVE CONTENT HIDDEN]., my Implementation Specialist. I admit, in the beginning I felt overwhelmed because I am the sole provider I had to learn all aspects of the software. However, [SENSITIVE CONTENT HIDDEN] encouraged me to hang in there and promised the support would be there when I needed. I'm very happy I hung in...Insync is going to make my professional life so much easier.
Pluspunten:
Insync allows me to bring all facets of my business under one umbrella: program management, submitting claims, client/patient statements, clearinghouse, credit card processing, patient portal with customized forms for progress notes and initial assessment, along with HIPAA and consent for treatment, and telehealth with Zoom that is very reliable. With the portal, patients can make their credit card payments online and send/receive emails that are all HIPAA compliant.
Minpunten:
Setting up insurance companies was a bit of a challenge; however, that is because I forgot to change my address on Medicare website which caused a glitch in processing claims.

Pluspunten:
1. The customization for our practice needs is/was excellent. 2. The transition from our past EHR system to this was one was almost flawless.3. The support from InSync/Qualifacts employees has been amazing. 4. The workflow for each department is customizable making the system near perfect for our company needs.5. Our project manager and implementation specialist, [sensitive content hidden], was beyond professional, knowledgeable, and helpful!6. InSync is extremely intuitive as all systems within the program are interconnected, reducing time needed to move through the system and complete tasks. 7. The reporting functions are excellent.8. The ability to manage employee permissions is excellent.
Minpunten:
1. It would be helpful if the Roles and Permissions had greater detailed descriptions as it can be difficult to identify what each permission allows or prevents.2. Some reports don't produce summary/raw data. However, most due and the reports in the system are excellent.
There are better products, with better response times
Opmerkingen: It has been a headache since the merger. More steps to make things take longer. Less responsive on their communication and less customer oriented.
Pluspunten:
I used to love InSync until Qualifacts gobbled them up, now their support, communication and product is hopeless. You submit a ticket and it gets lost in an abyss with one person pointing the finger at the other.
Minpunten:
Their lack of communication, their response times, their support. You are better off saving your time and energy and use an open sourced software that you can customize.
There are now long hold times for support
Opmerkingen: Nice people, but they seem to have stopped investing in customer care or the EMR in general after being bought by another company.
Pluspunten:
The system rarely goes down. Reasonably adequate as far as putting notes in and for purposes of submitting claims and applying ERAs. Perhaps not every bell and whistle that can be wished for, but adequate.
Minpunten:
There is a lot clicking and waiting a few seconds for screens to load up. This seriously slows down workflow because you may have to click through a few screens. It does not automatically update the chart to show you reviewed a PMP note, for instance, so after sending the med you have to click on the facesheet and wait for this to load. From that screen you can then load a custom form and wait (a little less time) for this to load. Frequent errors in when they were implementing us. Taxonomy codes were put in incorrectly which we didn't catch till later. Claims sending was set up incorrectly for under supervision. At the time at least there was a good degree of availability of tech support, and while they didn't always give you the right answers, after calling a few times you could typically get things figured out. They have since been bought by Qualifacts and things are going down the drain quickly. Now you are put in hold for 40 minutes before being able to speak to someone. Only 5 people from the practice, regardless of size, are allowed to call for support at all. Given how often we've needed to call to figure things out, this would have been unworkable for us in the first year with them. We switched to InSync because they offered a scheduling platform for new patient appointments. The platform did not work at all. It would offer patients appointment times that were already occupied. I don't remember the details, but it really wasn't a workable system.

Major Upgrade for our practice
Opmerkingen: It took some initial spreadsheet development and some time devoted to "discovery" of our practice's needs and workflows, but once the team at InSync was assembled for us and we had our kickoff call, we've spent well over a hundred hours with [SENSITIVE CONTENT] and the rest of the group in video calls to set up, customize and learn the software, and then train our staff. Our trainer [SENSITIVE CONTENT] was excellent and so patient. Our project managers were extremely responsive and were able to connect us with the top technicians of the software when necessary.
Pluspunten:
InSync is not an "out of the box" pre-formed software which forces your practice to mold itself to the way the software works. For a practice of our size, having developed our practices over many years, and yet still with room to refine our processes, InSync was perfect in that it let us truly shape how we wanted the software to work for us. However, it added absolutely critical functionality in key areas (crisp and clean patient portal, automation of many routine tasks- card charging, payment posting, even claim generating...), which was a major upgrade from our previous EHR. The charting functionality is endlessly customizable down to the font size and background color of the words "Date Signed" on the bottom of your custom patient form. Optional pre-built treatment planning as well as assessment questionnaires add to the utility of the program.
Minpunten:
Because the software is customized to your practice needs and workflow, it takes a long time to set up. Also, while there are hundreds of settings and options available for all aspects of the software, it can be a little overwhelming to learn. But once you get it, you notice the repeating patterns of how modules are set up, how searches and lists work, and the shortcuts you can generate really pay off.

Great Implementation, transition and training!
Opmerkingen: Changing systems has been a very stressful process as expected, but [sensitive content hidden] made it less overwhelming by being very accommodating and training very thoroughly, answering every little question that the staff came up with, and customizing notes as the providers asked for.

The document manager is very simple to use, scheduling is a breeze, the providers love the ability to dictate their notes, notes are very customizable ( with the help of [sensitive content hidden], the implementation specialist for sure!) and the patient portal has been very helpful!
Minpunten:
The main problem we have run in to is getting the electronic faxing set up.
Insync Review from AATPC
Opmerkingen: We are hoping with this system processing our claims and overall billing will go much more smoothly. We also like that multiple users can have access to the patient portal account (i.e. caseworkers)
Pluspunten:
I really liked that we have the opportunity to make the system what we want for what is best for our organization. There are a lot of steps on the admin side for creating things within the system (i.e. encounters) which makes it hard to remember and do quickly, but with time I'm sure this will get easier. Overall the transition to this new system has been good, but there is still a lot of learning to do.
Minpunten:
Our practice did not like that the clients preferred name couldn't show up as so. I understand for billing purposes we need clients legal name, but it would be nice for their preferred name to come up first when they go into the patient portal or when writing notes.

This application has the potential to be great with a massive overhaul
Opmerkingen: Overall, I believe this application has the potential to be really good though it needs a rather substantial overhaul to be fully brought into the 21st century. For an application that hasn’t been around a decade, some of the features are quite dated and there is zero transparency on suggestions for application modifications and seemingly zero quality control. I firmly believe that many of this platforms limitations is the result of skill (or lack thereof) of the developers as many much older EMRs have the basic functions that InSynch lacks.
Pluspunten:
You can add your own forms and documents. (Although said custom document seem to exist pretty much as stand alone documents. There is no way to inject otherwise populate data already within InSynch into said forms thereby requiring lots of manual typing of duplicative data).
Minpunten:
This application has NO test environment. This means when you Go Live and as you continually onboard new staff, you will be playing around in your live system. This matters because there is no way to delete anything in this platform, not even as an administrator. The application is exceptionally slow. There is no global autosave feature which means that there is a huge possibility of loosing data. Pages take a long time loading. The calendar needs a massive overhaul as it is very dated and rather limited. Providers cannot individually set their availability. Availability is limited to the agency hours and no appointments can be set outside of this without resorting to all sort of antics. Client documents must be added one at a time. Actually, very little can be completed in this application in bulk, which is very frustrating and time consuming. Moreover, you cannot download a clients entire chart at once. Each document must be downloaded one at at time which is unnecessarily laborious.

The best customer service around
Opmerkingen: The best part about InSync is the customer service. I’ve been utilizing this software for over 5 years and while the product could be more efficient, the assistance from your support staff is unparalleled. I’ve been working with [SENSITIVE CONTENT] for a little over three months and he has been wonderful. I signed a new client and he helped me get the account set up excising patience and acting as a guiding voice. I never once was worried about anything because I know [SENSITIVE CONTENT] would be able to answer any questions I had. He handled my MANY inquiries with grace and patience. His due diligence made this process painless.
Pluspunten:
The product is very easy to use and simple to understand but what keeps me coming back and signing new clients on is the impeccable customer service.
Minpunten:
Eligibility through practice insight and some other reporting features could be improved. Insurance eligibility especially is currently very tedious to verify. The reporting features can be improved as well. For manual entry of claims a tab over field for ICD-10 would be helpful. Clicking to Proceed is a waste of time. That’s the feature that makes me want to consider a different software. I’ve asked customer service many times if anything can be done but they said nothing can be changed about that.

Pros and Cons
Opmerkingen: Overall, I would say the experience is net positive. I would note that the eligibility/benefits checks are only accurate about 50% of the time which is a hassle, but I don't know how it compares to other softwares that offer this feature. Partly chose it because we wanted to make a custom history section that could be sent to the patient before the intake and have them fill it out and autopopulate the note in an editable way; this has been effective. I do think the reviews on Capterra are a little too positive for what the software is actually like. I have to wonder if some are fake but I could be wrong. It's just a little less reliable because it's a smaller company than say OfficeAlly. In retrospect I would have looked more seriously into Athena. I notice a lot of the bigger psych practices use this. I didn't because I thought they didn't really specialize in psych. But the grass is always greener on the other side so it's hard to say. It will be really hard for us to ever switch (or expensive) because the license needs to be paid for all up front. The other really important negative is that deployment is NOT smooth. We were fortunate in that we were chugging along with other software and in no rush to deploy InSync. I worked on setting it up and tested it on just myself/my patients until we were sure that it was all working smoothly, then we added the other providers. This took months. Deploying too early could be disastrous.

+ Financial reports extensive (I can't emphasize enough how helpful this is) + Easy to communicate between clinicians + HIPAA Zoom integration + Practice Management generally seems to work well/fewer glitches on that side compared to the EMR, just a few flaws like how the balance shows up in the patient portal can be confusing for patients + Works well for group practice workflow + Has all the necessary add ons in one system (and more!) - this is great! + Customer service very responsive about 2/3rds of the time, available by phone and email + After the first 6 months or so, almost all the glitches are ironed out + It is very customizable in every way (forms, note templates, appt reminders, calendar format, html name, really everything about it) + PDMP integration is awesome
Minpunten:
- No Google Cal integration (DrChrono offered this) - Patient Portal can be glitchy - Deployment does not go smoothly at all - Appointment reminders are per-text/per-email and thus very expensive compared to other programs - All the add-ons end up cost a lot per month (claim submission, HIPAA Zoom, etc, even though we own the license we still pay quite a bit per month per provider/higher than what they estimate) - Would not be financially practical for a psychotherapist account but would need to purchase one if we hired one/there is not a cheaper option for therapists vs. psychiatry - Overall had to deal with a ton of glitches for the first 6 months or so before the system ironed out - For transgender clients who use a non-legal name, there is not a good way to use their preferred name as the primary name in the patient portal - Some aspects of reporting are time consuming (e.g. if you make a specific patient category you need to add each patient individually, can't add based on "all patients in XYZ state or all patients with XYZ insurance") - No way of verifying identity with the identity question quiz thing/need to have clients upload a photo of their ID which seems low tech in today's day and age - Generally the interface looks kind of old - Server is noticeably slower than other websites - Although the purchasing license up front seems like a good thing, in retrospect I don't think it is because you end up paying a lot per month for all the add-on features
Integrative Health Consultants
Opmerkingen: I was happy for the most part that we were still able to manage in the middle of a pandemic and execute everything as best as we could. That being said, I was very disappointed with the fact that we were not able to have a smooth transition with the medical record data migration. The entire implementation team knew we were coming from "Therapy Notes" product. Yet you had no "work around" for a smoother migration. Once the patient data was moved, it seemed as though we were left to figure out a process. But in all honesty, if I had to build a spreadsheet and download data, and upload file to spreadsheet, why bother? I may as well just upload it directly into the new system myself. To send it to [SENSITIVE CONTENT HIDDEN] at Insync would have basically added to the process. I find it hard to believe that we are your only clients that have had such an issue. We aren't the only ones that have worked with Therapy notes prior to InSync. So the fact that your team doesn't have additional support or a better way to go about the process other than building a spreadsheet, surprises me. Although I am considered a super user, I am still not very confident in what I am doing. I am however willing to follow prompts and troubleshoot as necessary.
Pluspunten:
I loved that most everything is customizable per the user. Anything that we needed as an organization could also be accommodated or was something we were told we could see in the future.
Minpunten:
From my perspective (not very tech savvy) I was confident I could learn how to use the system pretty easily. However, It's quite a maze trying to learn where to go to get started when you need to configure something diferently. It's like we need to assume what we are supposed to search for in the search bar. It seems some things save or revert to a default status or populated for me. When we upload documents to the doc manager, the clinician is auto populated from the prior time it was used. It has also done this in other places within the system. It should clear once we save the doc. etc.
Psychology and Counseling Center - Insync Review: Billing and Scheduling
Opmerkingen: While the beginning parts were rocky, overall, our office is very happy with the program. We have seen an improvement in workflow as well as in revenue.
Pluspunten:
The product makes workflow easy and provides accurate information for the user quickly and clearly. There are a lot of little things that Insync's product provides that make it easier to function. Billing: Having a large billing team is wonderful. The billing team is able to get claims out quickly and properly. Communication: The communication between IT, service, and billing department and the client is outstanding. It enables our office to troubleshoot small and large issues in a timely manner and creates a more smooth and profitable outcome for our business and providers.
Minpunten:
The initial learning curve with the product was extremely difficult. We had great assistance from the onboarding team; however, due to all of the 'bells and whistles" it made it quite difficult to learn. Eligibility: Our office pays for Eligibility which is great because it shows us real time if the patient's insurance is active. Unfortunately, benefits for mental health are not shown on this portal. It would be wonderful if our office and other mental health offices had access to this information as it would save hours of time for the office as we still have to verify benefits for new patients who come in and existing patients who have insurance changes.
A business that prioritizes integrity.
Opmerkingen: I had the opportunity to speak with a very personable sales representative who's motive was to inform not to say anything and everything necessary to close the sale. The software itself has all of the functionality needed, and ultimately is the platform that I have been desperately searching for! After I decided to move forward with this product, I then was setup with an implementation specialist who held my hand every step of the way through the setup phase. If something needed to be updated or changed, I would receive an e-mail saying the task was completed before I even had the chance to request assistance. Finding a business that prioritizes integrity while striving to provide the best product is unfortunately very rare. Every step of the way, when I expected to hear "I'm sorry, we can't do that." (even if it would be understandable to hear), I received a "No problem, I'll get that going for you". As a small business owner my to-do list is a never ending whirlwind, and the problem solving and support I received through this process is hands down the best I have ever experienced.
Pluspunten:
Overall functionality options, workflows personable and customizable by position not just at a company level, logical admin settings and oversight options, focus on specific operational procedures.
Minpunten:
Haven't found anything yet, but I will circle back around to this when I do.
Increase anxiety while attempting to "make this system" applicable to a speech therapy practice.
Opmerkingen: NOT GREAT but appears to getting better AFTER our GO LIVE date. Our current implementation specialist is fantastic and knowledgeable. He has gone above and beyond to help us out of a very detrimental situation for our practice.

InSync Software
Pluspunten:
The initial set-up of the software is complex however the implementation team guides time and tasks very efficiently. Once the procedures and processes are solidified the day to day tasks are transferred to Insync RCM and the RCM Department. Our RCM Account Manager works diligently to bill and collect for our services to the point that our collections are at 99% and our days outstanding run around 15 days. The Account Manager understands the importance of clean billing to reduce write-offs and is very responsive when we need guidance. It is a pleasure to work with InSync RCM.
Minpunten:
As an accountant I would like more thoughtful use of the database with focused reports that take into account accrual accounting. The system reports are robust and informational however they are cash basis accounting which require manipulation if your company is accrual accounting based.
InSync Healthcare Solutions Review
Opmerkingen: [SENSITIVE CONTENT] was an awesome person to work with throughout the process. He was always willing to answer the many questions that I had while developing this software for our company. He provided input in order to simplify many of the notes which were being developed. I can not say enough positive things about [SENSITIVE CONTENT]. I feel that [SENSITIVE CONTENT] was always available to answer my questions even if we just had a meeting. He was always willing to have other meetings with just myself if needed to ensure that I was understanding everything which was going on through the implementation process.
Pluspunten:
1. The ability to run individual reports on every staff member, 2. The way it alerts the supervisors which notes they are personally responsible to sign off on. 3, The way the software is developed allows the agency to remain in complaint on all standards.
Minpunten:
1. The inability to personalize each tab given the individual notes. 2. The number of tabs it takes to complete each note. 3. The insurance verification doesn't always match what is listed in MITS. 4. The length of time it takes for the members who have been now assigned to us to get back with me regarding questions.
Insync; RCM and overall experience.
Opmerkingen: Overall, InSync is user friendly and has various features that will be beneficial to our practice. The implementation process itself has been great mostly because of the individuals that have been working diligently to ensure our success. I would like to acknowledge [SENSITIVE CONTENT HIDDEN] with the RCM team. From the very first moment I met [SENSITIVE CONTENT HIDDEN], I knew that we were in good hands. She is solution-focused, results driven and has excellent interpersonal skills. [SENSITIVE CONTENT HIDDEN] is extremely knowledgeable yet compassionate with her approach. She welcomes all questions and has consistently made our practice feel like a priority. It is a breath of fresh air to work with someone that not only understands their role, but can also validate, empower, and offer solutions to enhance process flows. We are extremely grateful to have her as a part of our team!
Pluspunten:
The dashboard, shortcuts and reporting are some of our best features in InSync. We also like that the system is customizable and we have been able to enhance some of our documentation. The implementation team has great to work with and has been easily accessible for questions unlike our previous provider.
Minpunten:
The calendar feature in InSync is our least favorite function. We also hope that one day InSync will have it's own app so that therapists can easily access their clients for the day.

Opmerkingen: Implementation Specialists are very helpful, on-site trainer was superb, he was very knowledgeable about the system and able to fix issues, input information and customize how we use the service on the spot in most cases

The ability to customize our workflow and complete a lot of reporting that we use to do manually, and allow our patient communication to have an electronic component.
Minpunten:
We are unable to utilize the eligibility features, some needed workflow processes are not yet available in the system

Opmerkingen: Great Implement program. The training is great. The trainers are very patient and great to work with. Overall, the time that is being saved from working with InSync is great, and makes up for the cost of the program.
Pluspunten:
It is web based so we can use it any office and at home. Everything we need for the practice is all in one place.
Minpunten:
The wording that is used in the software was a little hard to get used to at first. Takes some time to understand and use all that it offers.
This system has caused too many grey hairs and too much stress . . .
Opmerkingen: The set up process for this system was very stressful – we were promised outcome reports and the ability to do accrual accounting reports that were not developed until months after we went live with the system. Most of their support staff are from India and are difficult to understand, and the amount of staff hours it took to customize the system was outrageously high. Overall, it is a relatively easy system to use although there are times when things take three key strokes when it seems like it should only take one.
Pluspunten:
Our initial support and training staff were exceptionally responsive to our needs and excellent at what they do. Most of the people who work for the company seem to really care about the product and care about whether we are happy with the system or not. Even the owner of the company went to bat for us several times when we were not getting features we had been promised in a timely fashion. Generally, the system is extremely customizable to our practice and we were able to set it up for our specific needs. Now that the system is up and running, our staff, clinical as well as billing/scheduling, seem to be really happy with it.
Minpunten:
As I mentioned, during the initial setup and customization of the system, our initial trainers and sales people were all awesome to work with. Now that we have gone live and are using the system, we are dealing with the technical support staff. While they generally respond in a timely manner, all of the ones I have dealt with are from India and are either extremely difficult to understand or else don’t seem to fully understand what we are trying to say. This can be extremely frustrating at times. We were told the program was very customizable – which is true. The problem is we didn’t realize that their setup team had so many customizations and updates to make for other clients that it took almost 8 months from the time we signed the initial contract to get our needs addressed. This wasn’t helped by the fact that they kept giving us dates we could expect the next software roll-out and then those dates kept getting postponed. One major problem was that we had been told before we bought the system that it could do accrual accounting. Then we discovered it wasn’t set up to do accrual accounting at all. From April 1st, when we went live, to the end of June, we were unable to generate any financial data. This was a big problem for us. In addition, we were unable to generate specific outcome reports we had been promised (and that we needed for quarterly reports for some of our funding sources). This has been worked out now but was very stressful at the time. One of the things that appealed to us about this system in the beginning was the great reviews it got for its technical support and the responsiveness by which they responded to problems. While they are generally responsive, they haven’t consistently been so. One staff person told us the company was growing so fast that they were unable to respond to the increase in technical support needs. Maybe this is something that has been ironed out by now but it was certainly a problem early on.
Great EMR
Opmerkingen: We made the decision to switch to inSync less than 8 months after going live with another new PM/EMR system because our experience with that other software was so horrible. Two major EMR transitions within the course of a year was a big undertaking but the entire process, from the first demo call to our final implementation call has been basically painless. The satisfaction of our clinicians and clients has improved significantly and while we are still learning things within the software, we are extremely satisfied with the switch. Our implementation specialist, [SENSITIVE CONTENT], was by-in-large the most critical component in our satisfaction as she was incredibly responsive, helpful, knowledgable, and capable of assisting us in problem solving.
Pluspunten:
Integration of telemedicine and assessment administration have been great additions to our practice and clinician workflow. The software is intuitive enough that most of our clinicians have picked it up with relative ease and appreciate the convenience of it not being overly cumbersome compared to our previous EMR.
Minpunten:
There are some limitations with third-party integration (specifically appointment reminders, billing, and faxing) that we would like to see enhanced.
Insync goes above and beyond
Opmerkingen: Every ticket that I place for customer support to help with they reach out to the practice right away. As of [SENSITIVE CONTENT HIDDEN] we made the switch to add our billing with Insync. Insync and our new RCM [SENSITIVE CONTENT HIDDEN] helped make the transition as smooth as possible. We worked together as a team to make all the necessary changes to help the practice and Insync work together.
Pluspunten:
The software is easy to use. Insync always tries to help accommodate our practices needs.
Minpunten:
Sometimes I do feel it difficult to do certain tasks. Things were not completely set up for the practice in the very beginning.
Rough start but getting there
Opmerkingen: The implementation process was very rough for us as we changed specialists several times and when we went live we were nowhere ready to go live. The oversight of that process was lacking - someone at InSync should have looked at our setup and realized we were not ready. This caused a very difficult and drawn out process after going live. The implementation specialist we got after go live who did stay with us throughout was wonderful and the only reason I gave a 7 as to likely to recommend InSync. If it were not for [SENSITIVE CONTENT] I would not only not recommend InSync due to the botched setup/implementation I would recommend against it to others. I hope the positives that come from our situation is that processes are improved to make sure the setup is more complete/on target before going live for other companies in the future. The number will go up if support and new feature implementation goes well in our next few months.
Pluspunten:
The flexibility and customization are the best features of InSync. So many other systems are very rigid and not able to be very personalized.
Minpunten:
Some areas there are way more clicks than is necessary, or the area you are in has several options but the one that is automatically open when going there is not the one used most often - so more clicks.
