Not the Best for a Small Clinic

Pluspunten:
I like that Stripe is automatically connected to the biller to easily transfer payments from patient to practice. I like the automatic texting and emailing to patients to confirm appointments.
Minpunten:
This software contains codes for all insurance billing purposes; however, if you are cash-based practice and entering in supplements to sell, the manual process by which this is done is clunky and inefficient.

It's great when it works, the system randomly goes down and then you cannot practice or see patients or see your schedule and it happens too often. They need a back up system but don't have one. Support can take weeks to respond to a ticket and this too is infuriating. i like the templates and ease of billing but if i was looking again I would choose something else

chart notes are easy to type. I cannot think of any other PROS.

NO customer support. My salesman told me that if I wanted support, I should hire someone outside of TEBRA that is an expert. Called customer support during business hours and voicemail says they are closed. You have to watch videos and self teach the software. On boarding was rushed and missed promise topics. Not meant for single provider practice. Trizetto put my EIN wrong in billing and I can't bill for several insurances. NO help in fixing the problem after months.

Kareo Review
Opmerkingen: The support team is usually very helpful. We appreciate the ease of use of the clinical and billing (besides the issues with the medication portal). The only issue we have now Kareo and our other EMR system was having issues working together and getting a issue we were having resolved (its been 2 months). I had to get involved and now it seems as though both parties are working together to resolve our issue we is much appreciated.

Med Portal. Kareo uses a 3rd party at that controls how providers are allowed to send medications. We are a Pain Management Practice and at times need to be able to send pain medications outside the parameters that the Kareo 3rd party sets (1 pain med per 24 hours) this caused us set backs during clinic and we had to change to a different EMR system. We did not want to change but were forced to due to the parameters set by this 3rd party controlling the Medication Portal.

Easy-to-Use Billing Software
Opmerkingen: I use it daily and it makes my therapy practice so much easier! Billing a whole day's worth of appointments is less than 10 minutes with the SALT feature.

I think there needs to be more control around changing and/or deleting billing slips where there are errors. Rather than have to re-bill and re-submit. . .maybe a 'delete slip' function?

You can do better on the referral system. It needs to be improved stream line and intergrated. Also there are dx that I can't find and I have to google ICD10 because it doesn't come up.
Ease of use, full features

Having working with various paid and free electronic health record services at various institutions, I came across Kareo while researching for my presentation on mobile technology, cloud computing, and medicine at a national medical conference. The features, intuitive interface, ease of use, and HTML5 programming, which allows cross-platform interface and real-time update speed was remarkable. I've seen institutions spend millions of dollars on electronic health record/ambulatory medical record systems for the physicians' offices. However, the amount of time it takes to get the staff trained, the monthly subscription fees, the lag time for the providers due to complexity of the systems, constant system crashes, and the need to do extensive programming for these paid systems make me wonder why nobody has come up with a free EHR/AMR system that has all the features needed for physicians and mid-level providers without all the hassles. Most EHR/AMR systems are user-friendly for the billers and clerical staff, but not intuitive or user-friendly for the clinic staff and providers. This is not the case with Kareo. Kareo is extremely easy to navigate for any physicians, midlevel providers, and clinic staff. They can get the system running with little or no training because the interface is extremely intuitive and simple with built-in and customizable templates that allow you and your staff to complete intake, history, physical, and charting in minutes. The system has all the features that meet Stage I and II CMS meaningful use and allow your practice to obtain the EHR bonus with ease. Most of all, it is built for both mobile and desktop platforms. My staff and I can access Kareo EHR system with our mobile phone, PDAs, iPads, and Google-based pads with ease. The integrated billing features and electronic prescription features, along with integration with various laboratory and diagnostic test centers make Kareo a complete EHR solution for small to mid-size practices. It is not easy to impress me, having built the entire IT infrastructure myself for my own practice and for several medical practices around the country. Kareo's cloud-based EHR system makes it easy for migration, conversion, and implementation, without having to upgrade to expensive server systems. Any office with a desktop and mobile device can get the system up and running within hours, not days or weeks or months. I am impressed and amazed with all the features within Kareo. I would recommend any office looking to migrate, to convert their existing costly EHR, or to migrate from paper charts to EHR should consider Kareo.

It needs a patient health record/portal and automatic appointment reminders to patients via text to mobile phones, e-mails, and letters.
Kareo Billing Software
Opmerkingen: Overall we've been pretty happy with Kareo. There are a few features we miss from our old software but some of the features we gained by switching to Kareo mostly make up for the difference.
Pluspunten:
The main reason we were drawn to Kareo was it's API. It helped that it is cloud based and user friendly but our focus was on the ability to get the data out for use in reporting and our proprietary software and we were able to do that with Kareo.
Minpunten:
The canned reporting is okay but most of the reports export to excel in an unusable format (or at least a difficult to use format with filler cells and merged cells).

I want to make sure I remember the following text: "They do not have adequate support for processing ERAs and EDIs. The customer service is friendly but they don't fix anything, and the loyalty team is impossible to reach after 2 pm even though they claim to be working. It's horrible to try to obtain any revenue from them. I had to close my practice because of them. The administrators lack knowledge in setting up the ERAs and EDIs and they rely only on a few "specialists" who barely communicate with the clients. When they open a "ticket," they close the cases without actually solving the problem. The cancellation fee is ridiculously high, and even if your practice makes no revenue because of their bad service and support, they still charge the fee. The loyalty team is careless and lacks empathy. They don't appreciate the business relationship and they always try to blame the client for the bad work they do. I am not satisfied with the product, the service, or the support of this platform and I advise everyone who reads this not to purchase it."

most everything. countless glitches which they don't seem eager to address, unacceptable by android phones (though accessible by iPhone), e-prescribing is glitch and cumbersome to use, eRx requests are even worse, documentation has almost no word processing features; think of something less than Notepad. Though you can "create templates" they are so unintuitive and cumbersome to make, it's not worth the effort. There is very little flexibility or ability to personalize features for my practice, including billing, scheduling, etc. I can go on with specific issues and complaints, but I think you got the message.

Bait & Switch!
Opmerkingen: It has been an absolute nightmare. Customer support has been zero. For over 2 months couldn't use the electronic prescribing system due to problems with the Kareo system. They stated that it was the Doctor.Me program I was required to use. Wasn't. Called my son. He checked into it and told me how to fix it. Was fixed in minutes after 2 months of being ignored. Everytime my staff or I have tried to call them, we go into permahold. You can't get ahold of anyone who knows anything about their system. I am convinced that they hire people off the streets and don't really train them. In addition, they outsource their calls to individuals who can barely speak English and who do not have a clue how their system works. In addition, I pay for both the billing program and EHR. Was told that my monthly bill would be around $400 for both since I have a very small medical practice. Bill immediately jumped to over $680 per month. When I asked for an explanation, was told that needed to contact another department to get an invoice. Have repeatedly asked for a written explanation of why my bill is so high. Never have received any answers. [SENSITIVE CONTENT HIDDEN] were not helpful. [SENSITIVE CONTENT HIDDEN] was actually very rude to my staff. I overheard him making rude comments to my MA. When we tried to utilize our 3 months of "coaching" they never had time to help us. I even tried reaching out to the [SENSITIVE CONTENT HIDDEN] and he ignored my concerns. We are now slowly muddling our way thru this mess

Electronic prescribing has warnings, drug info and formulary attached. Helps with determining whether or not you will have interactions with other medications that have been prescribed.
Minpunten:
System goes down frequently. Has several bugs in it. Can't prescribe 2 narcotic medications for a patient. It refuses to send it electronically. Can't prescribe custom medications i.e. diabetic supplies electronically. Won't interface with any of the local radiology facilities or labs like LabCorp, Sonora Quest ect.....even though we were promised when given the information by the representative [SENSITIVE CONTENT HIDDEN] who talked me into signing on. The so called templates that they say are available--aren't. Can't sign on to the system from more than one computer i.e. you have it open on your desk top and are using a lap top in the room. Was told that it was a HIPPA violation to have it running in more than one location. Obviously not. Have used EPIC, AHLTA, VA system, Allscripts, Nextgen, Citrex and several other EHRs. Never had this issue with them. Good luck trying to use them. I recommend that you look into other alternatives if you don't want to have the same experience that we have had.

Opmerkingen: Terrible. I would never recommend this company to anyone. I honestly cannot believe they are still in business. The support team is not helpful when we run into a problem, the administrative team is nonresponsive.

Kareo is the worst EHR system I have ever used. It is constantly breaking, they take away features and products on a monthly basis without warning. It only works on a windows based computer.
Nothing left since pandemic
Opmerkingen: Again, for the first year it was a good product. Post pandemic, it's garbage like most companies today that can't pivot with challenging times.
Pluspunten:
It was a better system than what I was using prior to the pandemic. There WAS direct phone contact with service. There WAS free onboarding and training for up to 1 hour for each new employee, there WAS ease of use with proper guidance and training. The amount of information that is compressed into this software could take years before you become an expert. So to just drop all training and help is sloppy and unacceptable.
Minpunten:
No direct contact to a human by phone. All CSR help is an email to 1 person who is most likely overwhelmed and doesn';t get back for days. The videos to help you train on are outdated and don't make up to the updated software versions currently in use. Basically for $300 -$400 a month you're on your own.
Kareo - The most user friendly billing software I have encountered
Opmerkingen: When I initially saw the layout of Kareo I love it. All of the tabs are clearly labeled and I was able to navigate the software without any training. However once we started posting and applying payments, it began to get tricky. Since we were new to the software Kareo supplied someone to come out and train our employees and his personal line so we were able to call him whenever we have questions. That was a great help. We also enjoyed their training videos supplied on Kareo university.
Pluspunten:
It is a clean looking software and is very quick. It is very quick and easy to input payments and make notes on the payments. It is also easy to look at the AR to see what was denied, pending, etc. Most of the denials also have codes that help us figure out why it has not been paid.
Minpunten:
Some parts of the program are confusing and not intuitive. Applying payments seems like it is a more extensive process than it needs to be. Calling for customer service is also a pain because I am often on hold for a long time, at least 30 minutes, and the people I am calling often do not seem knowledgeable.
Things I would like to see

Karen is a very easy platform to maneuver. I like how you can find you client data with one or two clicks.

I would like to see patients that are made inactive be placed in an archive. By looking at names that are no longer a client make it takes longer for me to maneuver through the platform. Also the charge for telemedicine sessions is ridiculous. I have to pay $7.00 per session. Telemedicine is about 80% of my business so I never can budget for Karen it is always a surprise at the end of the month. Also if you put something on a Company Karen account you should have the capability of talking it off. Whenever I log on to my account I have to look at a Doctor who is no longer with my company but for some reason you all cannot take it off. Your company will lock us out of the system without notification, yet our bill never adjust and we have to stop out business. I cannot perform any telemedicine sessions. If we can get a notice so we can inform our patients that would be great especially when we are talking about mental health patient with anger management and PTSD issues. When you turn off notification for a client no one should make contact with them. The telemedicine side say they have to send out three notifications however they sometimes goes out in crazy hours. So when a company turns off notification we should know best.
Patient Pop is Patient PLOP Dramatic fall i. Organic
Opmerkingen: Every one is as nice and sweet as can be , although most almost clueless Patient pop should be ashamed of product site put out filled with errors. Cuts and paste. zero SEO optimization. The parts did write were just generic and NOT applicable for my practice at all Choosing patient pop over my previous web builder (changed on basis of what sales people told me ) was BIGGEST most costly mistake ever. Have documented proof of loss of revenue beginning two weeks after site went live and dramatic fall off on organic ranking

Don’t know where to begin. As i was told OVER PROMISED. UNDERDELIVERED Web site development is at level of intro self building. Plug abs build website. Most everyone talk to knows nothing even of most basic website elements and relays message. Horrendous website building experience. I had to build over 90% of it myself and still patient pop couldn’t get it right. Paid in August and still don’t have the website complete I LOST my top organic search presence dominance withong two weeks of patient pop going live. I have been in business six years and dominated legs is SEO before patient pop
Eprescribing is virtually unusable and company does not care
Opmerkingen: Software looks slick to an administrator but is absolutely frustrating if you are busy and trying to diagnose and prescribe for patients. Get something that does the basics well.

Minpunten:
1. There is no way to refill an eprescription. 2. There is no way to verify whether eprescriptions are received except to call the pharmacy which takes forever. At irregular intervals eprescriptions are not received. Patients are upset. 3. You have to manually enter your NDEAN for every single rx for buprenorphine. This is an incredible waste of time. The company doesn't care. 3. It does absolutely no good to call customer support and tell them there is something wrong with the software. They are not interested. They will tell you you can recommend a "future improvement". I even tried this and never heard back. You are stuck with it. 4. The fonts are designed to look artistic to an administrator but the contrast is low and hard to read (dark grey on light grey) to fonts are large and there is so much unused space you have to frequently switch screens.

Thanks for the review. Kareo allows refills of standard eRX and EPCS requests. For EPCS requests(Specific to Schedule iii and iv medications only), you can add up to 3 refills when creating the prescription(or up to 90 days of refills). For Schedule i and ii, refills aren't allowed but you're able to set future refill dates the pharmacy will not fill until the specified date. For errors with eRX or EPCS requests, Kareo has a section specifically for send failures under the "Refill Request" section that gives visibility to any problems. While our system does require you enter a NDEAN number when submitting EPCS requests, we are looking to further develop that function and begin participating in the NDEAN waiver program as soon as possible. For font, we use Helvetica, Sans Pro & Arial to provide a professional and easy to read experience with our platform. If text is too large or small, it may be your web browser settings. We will be reaching out to you to go over these concerns. -Kareo
The worst of the worst
Opmerkingen: You have been warned, don't use Kareo. Customer service is zero! Literally none. I have written multiple times about this issue. It either gets ignored or I get a reply 6 weeks later that says to "clear my cookies". Brilliant suggestion, I am a moron and never thought of that.....and guess what? That solution doesn't work at all! You can disable cookies it doesn't matter. You will be logged out over and over for the rest of eternity. My wife is dealing with it as we speak. Also payments through Kareo is a complete joke. This is 4th grade software, and isn't worth the price. Spend $50 more and get something that actually functions.

It's a fairly simple layout with easy navigation and basic functionality. Easy to learn and get started because it has almost no functionality. Notes are somewhat easy to write.
Minpunten:
This is the single most frustrating EMR I have ever seen and I have used at least 8 different ones. I had heard this was a problem from other reviews but I figured they were doing something wrong or it wouldn't happen to me. Here is the issue: Kareo has a timed automatic logout feature. BUT.... it doesn't work like anything else I have ever seen. It will log you out in the middle of a note, when you are entering demographic data or any other time if feels like it. There is no warning (sometimes there is but it still logs you out anyway) it will randomly log you out. All that work you were doing is GONE. Do you enjoy doing your notes 2, 3 and 4 times? This is the perfect system for you then!! Sign right up and you can spend 2-3 hours per day trying to write one note! Or when you have a patient on the phone and you are trying to schedule their visit, the system will continuously log you out over and over! Did I say that it keeps logging you out? Yes....yes I did! As an added bonus, there will be random times (a few per month or more) where once the system logs you out and you log back in, it will automatically log you back out. That's right....you will get to log in and be automatically logged out over and over and over and over and over and over and over....until you give up for the day! Think the issue might be related to the type of computer you have? Nope....this convenient logout feature works on all computers!
Platform's Limitations, Hidden Costs, and Manual Processes
Opmerkingen: Tebra + Kareo is a platform that doesn't allow you to export your data,They will charge you $2000 to export your client database when you leave in a format that other EMRs don't use. So you will have to hire help and they will claim that is not their scoop of work to guide you or support exporting your data. It lacks with crucial features and once you're in, it feels like they have a tight grip on your data. I am leaving the EMR after 3 years of practice, due to its limitations compared to competitors. Kareo lacks inventory management, requires manual invoice writing, and frustratingly restricts exporting client databases and demographics. Automation features are not functional, leaving everything feeling excessively manual. It's advisable to opt for a more comprehensive solution from the outset to avoid the hassle of data export later on. Notably, Kareo charges a hefty $2000 fee for exporting client databases in a format incompatible with most systems, requiring additional assistance, which they disclaim responsibility for. They only offer data export in XML format, which adds unnecessary complexity.
Pluspunten:
While the design interface and app appear satisfactory, I've encountered significant limitations. Automation features are non-existent, and the extreme restrictions on data exporting are concerning. Additionally, the platform's hidden costs and reliance on manual processes further compound these issues

Clunky, inflexible

There is no way to customize a letter to other providers in batches. We have brought it up multiple times and they just say something like "yes, that is too bad". That is the attitude they have (friendly but not really into implementing changes that are helpful).
The note writing is painfully difficult to streamline. They are built for primary care. Changing templates is clunky.
Pluspunten:
The front staff like how it works in general. Customer service listens, although they are incapable ot changing anything. I like the functionality to check patients meds with pharmacies.
Minpunten:
It is clunky and inflexible. Wastes a lot of our time in terms of our inability to edit templates out of their primary care building blocks. Customer service is friendly but requests to make things more efficient are simply "submitted" (not implemented).
