Opmerkingen: I've been using this software for 5 years, first as an employee then as an employer. Ease of use for both parties is fantastic and it's well worth paying for to save the time. When I change places of business, if I have a choice, I will choose When I Work again and again.

- Shift templates, makes scheduling a lot easier - The ability to copy and paste any shift, even faster than clicking and choosing - Simple to add and remove employees - App is fairly easy to use - Time clock is awesome, easy to use

- Looking at the full staff schedule on a particular day can be tedious. - For those making schedules, it's so much easier to do on a computer - In order to have a printed schedule, it downloads the PDF which you then have to print. I wish this printed right off the website.

This is a very straight forward software that focuses on online scheduling. It’s very easy to use. It’s very responsive, and fast. IM feature is very good. Great for communication between staff.
Minpunten:
The cost is quite expensive, as it’s calculated based on number of active employee per month vs a flat fee, so the bigger the company, the more it costs. We have almost 150 employees in total, so it was not the best option for us to use.

A Great Tool for Scheduling and Managing Employees

Minpunten:
Deleted punch in and outs are not recorded. Need a record of them. Printing of schedules is too basic not enough options to print the schedule how you want. Time card sheets should print out nicely on one page. Should have fingerprint sign in for employees to clock in and out on a locked time clock device.

Opmerkingen: over all we are happy and will be staying with the system. we would much rather help them develop there product the switch to another system. while we went there at the very beginning I think it was close an it has been useful and stable all along.

used on phones. multiple site capability. we started with one location with the knowledge that as we gained locations this system could grow with us with out having to buy into a large expensive system before we were ready.
Minpunten:
the workchat function is still in need of some attention. deleting old chats isn't obvious. Sometimes when writing longer texts the system will stop displaying the text being written after about 200 characters, then the whole text will be displayed when sent. can't edit or delete a posted text. posting pictures can be confusing although they do post. the chat is about 75% there just needs a little buffing up, this is a pretty big part of our administration as to a great degree we manage from offsite.

Has a lot of potential, but isn't quite there yet for our needs.
Opmerkingen: Overall, I wanted this to really work, but it's been frustrating. I do acknowledge that we work in a non-traditional industry. I am a team member at an NFT company with world-wide employees who all work from home. We need our community server covered 24/7 and so I need to be able to schedule people 24/7, but in *their* timezone in order to make sure that I have everyone working during normal hours in *their time* (as opposed to 4am their time). I can't make "shift templates" in one time zone and then make shifts in another timezone for the auto scheduler. There is no way for me to denote "Hey, I want my APAC crew to be scheduled these APAC hours, but NOT my US crew". I've spent many, many, many hours trying to figure out how to "game the system" to make it work for us. I can do it but it's very cumbersome, hands on, and takes a lot of time (which is the opposite of what I was hoping a scheduler would do. I was hoping to SAVE time.) I reached out to the team at one point to report the bug where the auto scheduler was ignoring unavailable time, and received a followup email letting me know it was fixed, but I still experience the issue every time I go to make a new schedule. This may be a FANTASTIC piece of software for traditional work-force, but hasn't been what I was hoping thus far for the industry I work in, that requires 24/7 scheduling with employees all over the world.

-Allowing for employees to be in different timezones -Allowing for employees to set their unavailability and their preferred scheduling times -Allowing employees to shift swap within the software

-Software is often buggy. It auto schedules my employees during times they are marked as "unavailable". This may be due to the fact that we have people all over the world and could be a time-zone issue, but the fact remains that they are often scheduled during "unavailable" times, and it has to be adjusted. -It also doesn't seem to honor the "schedule weekends first" feature correctly when I'm using auto scheduling. One of my employees ends up never being scheduled and I have to adjust. (TBF I have to adjust EVERYONE'S schedule after using the auto scheduler, but the issue with this one employee in particular is consistent and weird.) -Making shift templates is cumbersome. -There is no way for me to view someone's schedule in their timezone (and I'm talking about Singapore vs. CST) without switching my OWN timezone preference, which requires me to then immediately refresh the site or it won't show properly. -There is no "undo" -- If I have a schedule pushed and I need to play around with a swap, the moment I shift someone's shift, it goes into draft mode and if I decide, "Hey, I'm gonna actually just leave them where they are," there is no way to undo the movement without republishing (and sending them a notification) the shift. -Shift swapping doesn't allow for a FT employee to cover a PT employee's shift if they want, or for a PT employee to cover part of a FT employee's shift. I have to manually do this.

The software has made the impossible, possible for scheduling employees

I love that employees can indicate when they are available and when they are not available. I love that they can put in requests for time off which helps me not rely on myself for remembering. I love that there are additional features for rate of wage. I like the attendance and I can see if employees are showing up late or getting into overtime. There is a budget feature which I have not used but think would be very helpful in the future.
Minpunten:
I wish that I could have the option of excluding some employees when sending a general email through WIW. I also wish that open shifts were always a different color especially when looking at the schedule by position. This would bring my attention to the open shift and alert me that someone is needed. I wish I could publish an employees schedule out for more than 1 week.

When sending custom email messages to your employee's you can select which employees you would like to send the email messages to, by clicking on the "To" field and selecting their names from the list. There is not a way to automatically change the colors of the OpenShifts. Instead managers would have to manually edit the OpenShifts and change the colors on the Scheduler page. I've Reviewed Them Before But They Stay Current And Deserve To Be Commended
Opmerkingen: When I Work has really been great. Gone are the days of me trying to create weekly and monthly calendars and juggle handwritten requests for sick and vacation time. Staff can request through When I Work and I can easily update our schedule. I've saved hours and hours a month being able to utilize the templates as well.
Pluspunten:
When I Work has saved me daily headaches. Public Libraries don't have the funding to implement expensive employee scheduling software. When I Work even offers a free version which we started out with awhile ago but as our staff grew we moved into the paid format. Our library and employee pool has grown and changed, When I Work grows and changes alongside it. They continuously offer new resources and seek to keep ahead of us and just "know" what issues we may have as our staff is in flux.
Minpunten:
The only issue I've seen thus far is a slight problem with the remote ap. Let me first say that having the ability to have an ap at all is great. My staff often is out of the library for programs and if they have an event prior to actual library hours they can clock in from their own phone. The issue that I speak of was mostly in calculating the distance that clocking in was allowed. It took a few tries to make sure that staff can check in, with a decent range, but not be so far from the library that it could be abused by someone wanting to beat the clock when they're late to work.

A good option for timecards and schedule.
Opmerkingen: Initially it was a good solution for employee scheduling. We added the time clock after about 8 months and it has served its purpose. It allowed us to not use a google doc to schedule employees. It is a a good scheduler but not as great of a time clock.
Pluspunten:
My employees can use the app to get alerts and check their schedules. Employees can swap shifts with my approval. The time card is integrated into the schedule app. It is somewhat easy to use. We have used this software for about 2 years. When we first started with them there were not a lot of options out there. And it served its purpose. Our employees seem to like using it.
Minpunten:
There are several cons. I think the price is too high for what you get. Trying to process the time cards is very cumbersome and not very easy to understand. We run 24 hours a day and this software is not well suited to a 24 hour clock. Overall I spend too much time trying to understand how to use the time clock - punch in/out- and it is really frustrating. Also- their customer support is really pretty horrible. There is not a way to call someone and you have to submit an email to support and it can take them a bit to get back to you. Issues with time cards are things you want an answer for right away and they do not offer a quick response. Also- you really have to use a desk top to process the time cards and it does not function so well with google chrome- I think safari works better- but I prefer to use chrome. There are glitches with it that are just frustrating.

User Friendly, Easy to Use and Understand.

DASHBOARD : Upon logging in, the dashboard shows the exact total amount of time and money put it by all employees. That way, I can see if there is something out of the ordinary as long as I know the average expense we put on the payroll. AS AN ADMIN/PAYROLL/SUPERVISOR: I can customize who can view and edit the time of the members in the team. Typically, I give part of admin rights to the team leaders or supervisors. This way, it saves my time in editing login errors and focus more on the whole organization. If I want to do a roll call, I can do it at my desk in one glance. It helps me organize the schedule of the whole organization for next week's work operation and post it when it is finalized. No more excuses such as "I didn't know". At the end of payroll period, reporting is a breeze! AS A USER WITH LIMITED ACCESS : As a user, I have limited view of the data. I can only view my own hours. Which it is what I'm supposed to only see. I can watch my hours and limit myself to working more than 40 hours per week. I can send my Personal Time off and wait for the admin's approval. As a contractor employed by the organization, I can post my time availability. I don't have to go back and forth talking and negotiating to the supervisor. I can do this remotely with an app.

Revolutionized our Scheduling Process
Opmerkingen: We used to manually schedule all staff at our child care programs. When a regular staff called in sick or requested vacation we used to have to call, text and email each individual on call or float staff to see who was available and if they could work at the location we needed. When I Work allows us to be a lot more efficient in this process. It also allows for better communication with all staff through features such as work chat, and announcements. The customer service provided from the initial demo to setting up our team was exceptional. Our rep was always available to answer our questions or educate us about new features that might be useful to us. Our rep worked with us to use the features that worked best for us. When I Work also provides ready to go resources that you can send out to teams that include everything from how to set up your account, see open shifts, swap/drop shifts etc.
Pluspunten:
The ability to post open shifts as revolutionized our ability to communicate with and mobilize our on call staff. By posting an open shift On Call and float staff see the shift right away and are able to pick up shifts that fit with their schedules. The ease of posting open shifts has drastically decreased the time spent trying to find staff to fill gaps in schedules. With over 150 employees and 44 locations we are able to post the addresses of each location that allow staff to pull up a map to the site.

At this time the product is serving us very well. When I Work continues to add new features and provides detailed descriptions and instructions to these features.

Makes scheduling super easy!
Pluspunten:
This product is super straight forward and very user-friendly. It is very easy to use the scheduler as well as keep up with employee hours on the Time Tracker. You can easily edit attendance if your employee forgets to clock out and sending messages to the whole group is super easy with the group message feature. The online based platform is great and the app is the perfect way to post the schedule without having to send out emails of spreadsheets etc. Notifications come straight to your phone regarding scheduling changes, shift swap requests, time off requests, and even when your employees forgot to clock in. Notification alerts are easy to change in settings. There's even a setting to get a reminder 2 hours prior to your shift so in case your schedule is constantly changing, its so easy to keep up with it!
Minpunten:
The satellite/gps location isn't as good as it can be with regards to clocking in. Sometimes it will not let you clock in due to being "too far away" when you are standing right at your work. The app sometimes freezes up when clocking in/out or takes a while to process a clock in. So then when you press "clock in" again, it'll actually clock you out.

Fantastic Tool!

I have numerous staff working different jobs at different locations. Previously I was using Excel to schedule them all. Keeping track of days off and their class schedules was next to impossible. Letting the staff request time off and set their availability streamlined the process drastically. Since switching to When I Work my time spent scheduling has been greatly reduced. The mobile app is very helpful for my employees. The ability to designate positions is also very valuable. A large portion of my staff work in a child care setting so there are rules about qualifications necessary for each shift. I can designate which staff have which qualifications so that only eligible staff can be scheduled for a specific shift.
Minpunten:
I don't believe I have any cons. Occasionally when they change or update something it will cause an issue. I contact their customer service and it is corrected immediately.

Scheduling Entertainment
Opmerkingen: Schedule 30 to 40 shows a month across 12 performers is a lot to keep track of. WIW allows me to quickly assign performers to shows. The Notification to the Performers is great and the Reminder 2 hours or so before the Show is excellent... At one point we were doing shows every weekend and were using the OPEN opportunity. I would publish the date and time the opens would be published. Performers would be able to pick the show they wanted based on thier schedule. Being able too publish OPEN shifts in 1 push was very easy to do. I would fill an entire month of shows in about 15 minutes ... VERY efficient.
Pluspunten:
The monthly view give me the opportunity to see all scheduled shows and the assigned performer for each. So when customer calls with a specific data and time, I can easily confirm the opening and assign a performer to the show.
Minpunten:
The ability to schedule repeating monthly/weekly events. While "every week" is ok, it does not allow for more complex calendaring such: as every 3rd Wednesday in every month, or every other Monday through out the year. This was a feature in the ORIGINAL WIW from 18+ months ago. There was a small ICON (an elliptical arrow icon) in the "TIME" dialogue box. When clicked it would allow for such complex scheduling ... PLEASE BRING IT BACK!!

Love When I Work. Easy to use, and the customer service is outstanding!
Opmerkingen: Being able to go paperless was the biggest benefit. Also, the ease of the software makes it easy for Supervisors to make schedules and track hours.
Pluspunten:
Love the ease of the software, super user-friendly. Also, like that it is easy for all generations to use. Love that all requests can be made online, helping to eliminate paper.
Minpunten:
Would like to see more options for tracking employee hours as far as the reporting goes. Also, other features like tracking employees who work different positions, and being able to report on those hours. Also would like for it to track employee hours who no longer work with us anymore. Don't like that once the employee is removed from When I Work, all of their history is removed as well.

In addition, you can view the schedules and timesheets for past users by pulling up a 'Schedule Export' or a 'Custom Timesheet Export' and setting the filter to 'All Employees' so your deleted users populate on the report. Attractive inteface, serious limitations
Opmerkingen: So much promise, and a very attractive user interface. This might be fine for very small businesses, but has major limitations for tracking actual labour costs vs projected labour costs which is a key aspect of time management. Actual labour costs show up in the dashboard as a pretty line, but if you want to actually know the actual labour cost by day or % for actual sales, forget it. You'll have to export into excel and go back to that old game. If you run a restaurant or bar this feature alone should be a deal killer. Also if you run a company with multiple departments and want deptartment managers to be responsible for their own labour budgets but not view wages company wide...forget it. Supervisors can view wages for their department but not labour budgets! Managers can view wages and labour budgets, but company wide! So this system can work for a small business where one manager is in charge of all schedules but not for larger companies with department managers that shouldn't have access to company wide info. When will they come out with these and other features and fixes? Who knows...all they can say is...maybe, perhaps at some point, we're trying. How about a development timeline that customers can see so that they can tell whether a needed feature is going to be 2 weeks or 2 years, or never? How about a response from the development team about when a new feature might come out? No, just keep hoping. Well sorry, companies can ride on hope. Shiftplanning seems to be in the same price point, with larger feature set.
Pluspunten:
Attractive user interface. Easy to set up and add new shifts and move shifts around. Responsive support.
Minpunten:
No ability to track actual sales vs budgeted without exporting to a spreadsheet. LImited access for supervisors to labour budget.

We'd rather do 10 things great, than 100 things mediocre. That said, I think I can help in regards to your questions about LABOR BUDGETING. We have a "mode" that you can turn on that will allow you to see labor budget by day compared adjusted projected sales. We also show you labor cost by $ and %. Ease of use that thus a great solution for us as a company to use.

It's a simple and easy solution for scheduling. The managers Like being able to view on a computer , staff use the app to see their schedules.
Minpunten:
The is no where for managers to make notes on employees regarding that schedules. - example while an employee did not show up to work - if you use the shift notes every is notified . Haven't yet been able to see if you can create a small group chat - example only managers.

When I Work does offer the internal "Shift Notes" on an employee's particular shift. If you add these notes, only the employee will see and be alerted with these notes/changes. Furthermore, you may be able to use "WorkChat" to communicate with staff and/or other managers when staff do no-show. When I Works works for me!
Opmerkingen: I do not have many employees on my schedule - only 10, but Incan whip up a schedule from scratch in 5-10 minutes.
Pluspunten:
It makes scheduling a simple task AND adds features like schedule templates open shift offering that are icing on the cake! Customer support is responsive and very helpful.
Minpunten:
I would really like a link to view an employee’s full availability directly from the weekly schedule. I have made a request, which was acknowledged in a very positive way. It hasn’t happened yet, though.

I agree that the OpenShift and Shift Template features make things easier too. I can definitely understand wanting to see availability while scheduling and I wanted to make sure you know that availability for employees does show on the weekly schedule page in the triangles you see in the corners of the app. If nothing is there, it is assumed the employee is available. I love this product, have looked at others that are similar but I still think this is best in class.
Opmerkingen: it is not THE answer to scheduling numerous part time staff around their shifts, but it is definitely than paper or excel spreadsheets. staff can access everything remotely and easily. Drop shift and pick up shift function is great. I have just started tracking hours and I really like that feature.
Pluspunten:
ease, functionality, rollover capability , copy and paste function, excellent customer support. Staff really like the app function of the software. I prefer to do things on desktop, I enjoy that. I can easily add/remove/assign staff as is necessary. I can block days easily. requests arrive immediately.
Minpunten:
it is more expensive than other similar products. I cannot limit each employee's availability (I called and tried, found a solution, not best, but still a solution)
